ASSIGNMENT COORDINATOR CLERK

Job Summary
Under direction, determines weekly work schedules to support dispatching and scheduling deliveries of Metro′s critical material requirements; schedules and assigns relief workforce requirements and personnel to cover vacancies; maintains and updates department overtime rosters; distributes communications to staff, compiles and organizes training and safety materials, and coordinates other documents as assigned.
Duties and Responsibilities
  • Schedules agency-wide delivery of material Dispatches the delivery vehicles
  • Prioritizes work schedules to support dispatching critical material requirements
  • Assigns and schedules Authority Relief Pool
  • Assists in prioritizing vacancy coverage requirements at various locations
  • Maintains, updates, and distributes the departmental overtime rosters
  • Conducts new employee orientations
  • Prepares written communications, such as letters, memos and reports
  • Prioritizes critical material requirements for Operations
  • Provides clerical support to management staff
  • Provides guidance and assistance to new or entry-level employees
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

Essential Knowledge, Skills and Abilities
Knowledge of (defined as a learned body of information that is required for and applied in the performance of job tasks)
  • Theories, principles, and practices of material management and storeroom operations
  • Theories, principles, and practices of workplace safety
  • Complex recordkeeping
  • General office practice and procedures
  • Research and report preparation methods
  • Applicable business software applications

Skill in (defined as the proficient manual, verbal, or mental utilization of data, people, or things)
  • Communicating effectively orally and in writing
  • Preparing general correspondence and reports
  • Operating personal computers, general office equipment, and communication systems
  • Interacting professionally with various levels of Metro employees

  • Proofread work and identify errors

Minimum Qualifications
A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

Education
  • None Required

Experience
  • Two years of relevant responsible clerical experience involving complex recordkeeping
  • Two years of relevant experience in a lead person role overseeing other personnel

Certifications/Licenses/Special Requirements
  • Valid California Class C Driver License
  • Must have a satisfactory attendance record in accordance with the TCU contract
  • Applicant will be required to pass one or more of the following written test(s), performance test(s), and oral interview
