Job Summary

Under moderate supervision, prepares and manages training documents, and performs data entry and analysis in support of a department′s operations.

Duties and Responsibilities
  • Coordinates and publishes electronic and hard copy training schedules
  • Prepares course descriptions for intranet, catalogs, and training guides
  • Prepares training materials for instructors and trainees
  • Prepares trainee and manager questionnaires and surveys and gathers data
  • Collects and maintains library of training curriculum and documents
  • Assists with the development of training materials such as handouts and visual aids
  • Schedules and provides administrative support for new employee orientation and training
  • Coordinates with vendors on training-related services, supplies, equipment, and materials needed for bus and rail competition events
  • Coordinates computer hardware and software support for instruction staff
  • Assists in scheduling repairs of equipment
  • Picks up and delivers reports and other materials
  • Collects and monitors trainee attendance records
  • Produces training certificates of completion
  • Prepares training-related documents for manager review and approval
  • Assembles printouts for review by departmental representatives
  • Compiles training assessment data for instructor and managerial review
  • Reserves training and conference room space
  • Monitors instruction budget and purchases training-related items and services as needed
  • Types, prints, and files reports, letters, memoranda, and forms
  • Answers telephone calls and inquiries from Metro staff and/or the public regarding departmental policies and procedures and related matters
  • Checks various documents, such as purchase orders, for completeness and accuracy
  • Orders tools and equipment for classroom use and training
  • Maintains and updates records, work status boards, batch reports, purchase orders, and requisitions
  • Monitors and orders office supplies
  • Manages administration pool vehicles
  • Performs other instructional and administrative duties as necessary
  • Maintains, supports, and promotes a safe work environment while complying with all of Metro′s safety rules, policies, and procedures
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

Essential Knowledge, Skills and Abilities

Minimum Qualifications

A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

Experience

  • Two years of relevant experience performing clerical, secretarial, or administrative work in instruction support or in a training environment; experience performing document storage, retrieval, and reproduction work preferred
