ASSISTANT ADMINISTRATIVE ANALYST

Job Summary

Provides entry-level administrative support to multiple teams or a department for various programs and projects.

Duties and Responsibilities
  • Assists in performing administrative and organizational analysis and participates in projects, budgeting, and administration
  • Conducts research studies and collects data for management reports and programs
  • Responds to inquiries for information from staff, management, and the public
  • Troubleshoots software and basic hardware problems
  • Prepares reports and correspondence
  • Maintains and updates reference and procedural materials and computer databases
  • Assists in developing policies and procedures
  • Reviews and approves invoices
  • Catalogs, orders, organizes, and disburses reference and technical materials
  • Purchases manuals and materials for department; reviews and process requisitions and invoices
  • Performs analytical work in support of a department's business
  • Contributes to ensuring that the Equal Employment Opportunity (EEO) policies and programs of Metro are carried out

Essential Knowledge, Skills and Abilities

Knowledge of (defined as a learned body of information that is required for and applied in the performance of job tasks)

  • Theories, principles, and practices of budget or grant planning
  • Basic accounting and budgeting principles and processes
  • Office operations and procedures
  • Research and report preparation methods
  • Mathematics and business statistics
  • Applicable business software applications


Skill in (defined as the proficient manual, verbal, or mental utilization of data, people, or things)

  • Performing basic statistical and financial analysis
  • Analyzing situations and identifying problems
  • Communicating effectively orally and in writing
  • Preparing reports and correspondence
  • Interacting professionally with various levels of Metro employees and outside representatives
  • Operating computers and general office equipment

Minimum Qualifications

A combination of education and/or experience that provides the required knowledge, skills, and abilities to perform the essential functions of the position. Additional experience, as outlined below, may be substituted for required education on a year-for-year basis. A typical combination includes:

  • Bachelor′s Degree in Business, Public Administration, or a related field


Experience

  • None required

Certifications/Licenses/Special Requirements

  • A valid California Class C Driver License or the ability to utilize an alternative method of transportation when needed to carry out job-related essential functions
